The Challenge
The client, a Cybersecurity Software company, needed to move their entire operation from one HubSpot portal to another. Unlike a platform migration, a HubSpot to HubSpot move has no simple export and import path: contacts, companies, activity history, templates, sequences, workflows, and reporting all had to be rebuilt or transferred individually, with no tolerance for lost data or broken automation.
The scope was large by any measure: 30000 contacts, 26,000+ companies, 40+ workflows, 70 sales sequences, 40+ email templates, 17 landing page templates, and 10+ dashboards and reports, along with every logged task, note, email, and meeting tied to those records. On top of the scope, the client needed it done in 15 days, with the new portal fully operational and the old one safe to retire.
Our Solution
-
Migration Audit and Scope Mapping
Catalogued everything in the source portal that needed to move: contacts, companies, activity history, templates, sequences, workflows, and reporting, and mapped each piece to its destination in the new portal before any migration began.
- Contacts and Companies Migration
Migrated all 30000 contacts and 26,000+ companies into the new portal, preserving standard and custom property data so no record lost context in the move.
- Activity History Migration
Migrated the full activity history tied to those records, including tasks, notes, emails, and meeting logs, so the new portal carried forward the same relationship history as the old one.
-
Marketing Assets Rebuild
Rebuilt 40+ email templates and 17 landing page templates in the new portal, matching design and functionality so marketing could operate without interruption.
-
Sales Sequences Migration
Recreated all 70 sales sequences in the new portal, preserving step timing, content, and automation logic exactly.
-
Workflow Rebuild
Rebuilt 40+ workflows in the new portal, replicating trigger conditions and actions precisely so automation behaved identically after the move.
-
Dashboards and Reporting Rebuild
Rebuilt 10+ dashboards and reports in the new portal, so leadership retained the same visibility into performance from day one.
-
QA and 15-Day Delivery
Validated data integrity across contacts, companies, and activity history, tested every rebuilt workflow and sequence, and delivered the complete migration within the 15-day timeline.

A HubSpot to HubSpot migration has no shortcut export button - every workflow, sequence, and template has to be rebuilt by hand, which is exactly why the scope and the timeline both matter.
