Segmenting your contacts is the foundation of effective marketing. But in HubSpot, many teams get stuck asking:
“Should I use a Smart List or a Static List?”
Use the wrong one, and your workflows break. Use both correctly, and your automation becomes significantly smarter.
Let’s break it down.
A Smart List (also called an Active List) is dynamic.
It updates automatically based on criteria you define.
Example:
“Contacts who downloaded the pricing PDF in the last 30 days.”
When a contact meets the criteria, they’re added.
When they no longer meet it, they’re removed.
Best for:
Triggering workflows
Behavioral segmentation
Real-time campaign targeting
A Static List is fixed. It includes only the contacts added at the time you create it—manually or via a filter.
Best for:
Once created, it doesn’t change unless you edit it manually.
Pro Tip: Always name Smart Lists clearly and include logic in the title
(e.g. “Downloaded eBook – Last 30 Days – MQL Only”)
Post-Event Follow-Ups: Capture who attended a webinar or filled out a campaign form
Manual QA or Review: Pull a list for the sales team to verify
Snapshot Campaigns: Save a moment-in-time group before running a test
Bulk Updates: Export a static group, update in Excel, and reimport with changes
Static = frozen in time. Great for control. Bad for automation.
Using Static Lists for Automation: You’ll have to rebuild or manually update it, which is a bad idea for scaling.
Not Archiving Old Lists: Over time, you’ll end up with dozens of unused lists. Clean monthly.
Not Documenting Naming Conventions: Your team won’t know which list to use unless the naming conventions are clear.
